Turn an interview observation into a testable requirement.

Imagine a training administrator tells you: I copy attendance from three spreadsheets before I can send reminders. This is a fictional practice example.

First, record the observation. Keep the person's words separate from your interpretation. Ask when this happens, how often it happens, and what goes wrong.

Second, identify the need. The administrator needs a reliable way to identify learners who have missed a session. A dashboard is only one possible solution. Do not decide on the solution before checking the problem.

Third, draft a requirement. For example: The system shall allow an authorised training administrator to view learners recorded as absent for a selected session. Mark this as a draft until the relevant people have reviewed it.

Fourth, make the expected behaviour testable. Given a session with two absent learners and one present learner, when the administrator selects that session and the absent filter, then the view shows only the two absent learners. If there are no recorded absences, it shows a clear empty-state message.

Finally, confirm the details. What counts as absent? Who can see the records? How are corrections handled? Agree those rules with the responsible people.

Your practice task is simple. Take one observation, write the underlying need, draft one requirement, and add one example that could demonstrate whether it works. Keep a link back to the original evidence.

Check your learning

Choose one real observation. Write the underlying need, draft one requirement, and add an example that makes the expected behaviour observable. Review the draft with the relevant people.
